CheckMate Kids - Terms & Conditions

  1. Bookings

    All bookings are made through our official booking platform (Acuity Scheduling) and are subject to availability. A booking is confirmed only once full payment has been received. Places are allocated on a first-come, first-served basis.

  2. Payments

    Payment is required in full at the time of booking. We accept major debit and credit cards, Apple Pay, and Google Pay via our secure payment processor (Stripe). Bank transfers or cash payments may be arranged by exception – please contact us directly to discuss.

  3. Cancellations and Refunds

    Cancellations made more than 7 days before the event date are eligible for a full refund. Cancellations made within 7 days of the event are non-refundable.

    If you are unable to attend, your place may be transferred to another child – please contact us as soon as possible to arrange this.

    Refunds will be processed via the original payment method within 5–10 working days.

    Rescheduling. We don't operate a formal rescheduling policy, but if you can't make a session, please get in touch and we'll do our best to move your child's booking to another available session, subject to availability and at our discretion.

  4. Event Cancellation by CheckMate Experiences

    In the unlikely event that we need to cancel an event, we will notify you by email and/or phone as soon as possible and you will receive a full refund within 5-10 working days. We are not liable for any additional costs you may incur as a result of the cancellation.

    Separately, we shall not be held liable for any failure or delay in performing our obligations where this results from causes beyond our reasonable control (including, but not limited to, severe weather, transit strikes, or government action). In such cases we will first offer a rescheduled date or a credit. Where we are unable to offer a rescheduled date or credit that is acceptable to you, you will receive a full refund.

  5. Supervision and Collection

    Children must be dropped off and collected by the parent or guardian named on the booking form, or a pre-authorised adult. Children will not be released to an unauthorised adult. Parents are responsible for ensuring children are collected promptly at the end of the event.

    We reserve the right to charge a late collection fee of £10 per 15 minutes (or part thereof) to cover the cost of additional staffing and venue time.

  6. Behaviour

    We expect all children to treat coaches and fellow participants with respect. CheckMate Experiences reserves the right to remove a child from the event without refund if their behaviour is deemed unsafe or disruptive. In such cases, the parent or guardian will be contacted immediately.

  7. Medical Information and Additional Needs

    Parents and guardians are responsible for ensuring any relevant medical conditions, allergies, or additional needs information is disclosed at the point of booking. CheckMate Experiences reserves the right to refuse participation if adequate medical information has not been provided, or if we are unable to safely accommodate a child’s needs.

  8. Liability

    Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded or limited.

    Subject to the above, CheckMate Experiences Ltd holds public liability insurance, and is not responsible for loss or damage to personal belongings brought to the event. To the fullest extent permitted by law, our total liability to you shall not exceed the total amount paid for the booking.

  9. Photography and Media

    By providing photo/media consent at the time of booking, you agree to your child being photographed or filmed during the event. Images may be used for promotional purposes on our website, social media, and printed materials.

    Children whose parents have not given consent will be excluded from photography. We will make reasonable efforts to ensure this, but cannot guarantee a child will not appear incidentally in the background of images.

    Consent can be withdrawn at any time by contacting us in writing.

  10. Data Protection

    We collect and process personal data in accordance with our Privacy Notice. Booking data is processed via Acuity Scheduling and Stripe. We do not share your data with third parties except as required to deliver the event or as required by law.

  11. General Provisions

    We reserve the right to update or amend these terms from time to time; the terms in place at the time of your booking will apply. If any provision of these terms is found to be unlawful or unenforceable by a court, that specific provision shall be removed, and the remainder of these terms will remain fully valid and enforceable.

  12. Governing Law

    These terms are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
