CheckMate Retreats - Terms & Conditions
1. Booking and Deposit
Participants must be 18 or over. A non-refundable deposit of £100 is required to secure your place. While the deposit is non-refundable, it is transferable to a future CheckMate Retreat if you are unable to attend the currently booked retreat, provided you notify us at least 14 days before the event start date. All payments are made to the CheckMate Experiences Ltd business account. Payment details will be provided on confirmation of your booking enquiry. Your place at the retreat is only guaranteed once the deposit has been received and a formal confirmation has been sent to you.
2. Payment Schedule
The remaining balance must be paid in full no later than two weeks before the start of the retreat. If the balance is not received by this deadline, we reserve the right to offer your place to the waiting list. Your deposit will remain subject to the non-refundable terms above.
3. Cancellation Policy
Due to the specialised nature of our retreats and pre-paid venue commitments, we do not offer cash refunds for cancellations. Exceptions may be considered at our sole discretion in extraordinary circumstances. In addition to the future-credit option outlined in Section 1, you may transfer your place to another person if you are unable to attend. Please notify us at least 48 hours in advance with the new attendee’s full name and contact details. If we cancel a retreat for any reason — including events beyond our reasonable control — all participants will receive a full refund of all money paid. This is the limit of our liability for cancellation: we are not responsible for any other costs you may incur, such as travel or accommodation booked separately. We shall not be held liable for any failure or delay in performing our obligations where this results from any cause beyond our reasonable control (including, but not limited to, severe weather, transit strikes, or government action). Where such an event disrupts but does not prevent a retreat, we may make reasonable changes to the programme, schedule or venue, and such changes do not entitle participants to a refund. Where such an event forces us to postpone a retreat, we will offer you a place on the rescheduled date or a credit; if neither works for you, you may request a full refund instead. We reserve the right to ask any participant to leave the retreat without a refund if their behaviour is disruptive, abusive, or negatively impacts the experience of other guests.
4. Liability
Participants are responsible for their own travel to and from the venue. CheckMate Experiences is not liable for personal travel delays or expenses. CheckMate Experiences accepts no responsibility for loss of or damage to personal belongings during the retreat. Participants are responsible for ensuring they are in suitable health to attend. Please notify us of any medical conditions, dietary requirements or additional needs in advance. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be excluded by law. Subject to that, and to the fullest extent permitted by law, our liability shall not exceed the total amount paid by you for the retreat.
5. Data and Privacy
Any personal information collected during the booking process will be used for the purpose of administering the retreat and communicating with participants, in accordance with our Privacy Notice. We will not share your personal data with third parties without your consent, except where required to deliver the retreat or as required by law. We may take photographs or video during the retreat for promotional purposes. If you do not wish to be included, please let us know in writing prior to the event.
6. General Provisions
We reserve the right to update or amend these terms from time to time; the terms in place at the time of your booking will apply. If any provision of these terms is found to be unlawful or unenforceable by a court, that specific provision shall be removed, and the remainder of these terms will remain fully valid and enforceable.
7. Governing Law
These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
