The Rafayel Space, Venue Hire - Terms of Hire

Thank you for your interest in hiring the 3rd floor space at The Rafayel. Bookings for The Rafayel are managed by CheckMate Experiences Ltd. The summary below explains how hire works and our headline conditions. Full terms and conditions, tailored to your booking, are provided and agreed before any hire is confirmed.

How Hire Works

  • Get in touch with your enquiry, including your preferred date, the type of activity or event, approximate numbers, and catering requirements.

  • We will confirm availability and provide a quote along with our full terms of hire.

  • Your booking is confirmed once a deposit has been paid and the hire terms have been agreed and signed.

  • For regular weekly or monthly hirers, payment is typically by simple recurring invoice rather than the deposit process below.

Deposits and Payment

  • A deposit is required to secure your date, alongside agreed and signed hire terms. Your balance will be based on your agreed headcount. Final guest numbers are typically required 7 to 14 days before your event, as detailed in your specific quote. The balance is due in advance of your hire, as set out in your booking terms.

  • Deposits are non-refundable. Full cancellation terms are set out in your booking agreement.

Insurance

Hirers — including activity leaders, class providers, private and corporate clients — are responsible for holding their own valid public liability insurance appropriate to their activity, and may be asked to provide proof before their booking is confirmed. CheckMate Experiences Ltd and the venue hold their own insurance for the building and our own operations; this does not cover the activities of hirers.

Your Responsibilities

  • Hirers are responsible for the conduct of themselves, their guests and attendees, and for the safe running of their own event or activity.

  • Hirers must be mindful of other occupants in the building. Noise must be kept to a reasonable level, and we reserve the right to intervene if an event causes a nuisance.

  • Hirers are responsible for any loss or damage to the venue or its equipment caused during their hire.

  • The space must be used only for the purpose agreed, must not exceed its stated capacity, and must be left as found at the end of the hire period. We reserve the right to charge an additional cleaning fee if the space is left in an unacceptable condition or requires commercial waste disposal.

  • Activities involving children must meet appropriate safeguarding standards, and the hirer is responsible for the safeguarding of any under-18s attending their own activity.

Health, Safety and Conduct

Hirers must comply with the venue's health, safety and fire-safety arrangements, which will be shared as part of your booking. We reserve the right to decline or end a hire where conduct is unsafe, unlawful, or in breach of the agreed terms.

If your event involves the sale or consumption of alcohol, this must be explicitly agreed in advance so we can ensure the appropriate licensing and venue rules are followed.
