British Junior Championships Bootcamp — Terms & Conditions

‍These Terms and Conditions govern bookings for the CheckMate Kids British Junior Championships Bootcamp (the "Bootcamp"). They are separate from, and apply in addition to, our general CheckMate Kids Terms & Conditions; where they conflict in relation to a Bootcamp booking, these Bootcamp terms take precedence. Please read them carefully — by booking a place, you confirm that you have read, understood and agree to them.

1. Who we are

‍ The Bootcamp is run by CheckMate Experiences Ltd ("CheckMate", "we", "us", "our"), a company registered in England and Wales (company number 17114396), registered office Flat 8 Wesley Court, SE16 4DT. You can contact us at coaching@checkmateexperiences.co.uk.

2. Definitions

"Bootcamp" — the three-day chess training programme run by CheckMate on Monday 27 – Wednesday 29 July 2026, booked as all three days or as one or more single days, as set out at the time of booking.

"Child" — the child for whom a place is booked.

"Parent" — the parent or legal guardian making the booking and responsible for the Child. You confirm you have authority to make the booking and to agree to these terms on the Child's behalf.

"Booking" — a request for one or more Bootcamp places, confirmed in accordance with section 4.

3. Eligibility

The Bootcamp is for children aged 7–13. Children slightly outside this age range may be admitted by prior arrangement — please contact us before booking. We group children by age and playing strength so that each Child is appropriately matched and supported. We may decline a Booking, or — in consultation with you — move a Child between groups, where we reasonably consider it in the Child's interest or necessary for the smooth and safe running of the Bootcamp.

4. Booking and payment

4.1 Bootcamp fees are payable by bank transfer. Please use the Child's full name as the payment reference. We do not take online card payment for the Bootcamp.

4.2 To book, contact us to confirm availability. We will then confirm the price and provide our bank details. A place is reserved but not confirmed until payment in full has cleared into our account. Until then, the place may be offered to another family.

4.3 Places are strictly limited and allocated on a first-paid, first-confirmed basis.

5. Prices

5.1 Prices for the Bootcamp (including any single-day rate) are as advertised at the time of booking and confirmed to you before payment. Once you have booked and paid, we will not change the price of your Booking.

5.2 Where a discount or offer applies, its terms and any closing date will be stated at the time of booking.

6. Cancellation or changes by you

6.1 To cancel or change a Booking, notify us in writing at coaching@checkmateexperiences.co.uk.

6.2 Our refund policy is:

  • More than 4 weeks before the Bootcamp start date — full refund.

  • Between 2 and 4 weeks before the start date — 50% refund.

  • Less than 2 weeks before the start date, or once the Bootcamp has begun — no refund.

6.3 No refund or credit is given for days a Child does not attend, including for illness, holiday, or late arrival / early collection.

6.4 Transfers. Subject to availability, we will try to move your Booking to an alternative CheckMate Kids programme (such as a holiday camp week) as an alternative to cancellation. Transfers are not guaranteed and a transfer does not extend the refund windows above.

7. Cancellation by us

7.1 In the unlikely event that we cancel the Bootcamp (or a Bootcamp day), you will receive a full refund for the cancelled session within 5–10 working days. We will notify you by email and/or phone as soon as possible.

7.2 The Bootcamp may be subject to minimum numbers. If it does not reach its minimum, we may cancel and offer a full refund or a transfer to an alternative CheckMate Kids programme.

7.3 We are not liable for any additional costs you incur as a result of a cancellation (for example travel or childcare), and our liability is limited as set out in section 13.

8. Drop-off, collection and supervision

8.1 Children must be dropped off and collected by the Parent named on the Booking, or by a pre-authorised adult notified to us in advance. Children will not be released to an unauthorised adult.

8.2 The Bootcamp runs from 9:00am to 4:00pm each day. Please drop off from 9:00am and collect your Child promptly at 4:00pm.

8.3 If a Child has not been collected by 15 minutes after the finish time, we will attempt to contact the Parent and any emergency contact. We cannot guarantee extended supervision and reserve the right to charge a late-collection fee of £10 per 15 minutes.

9. Off-site activities

9.1 Weather permitting, Bootcamp activities may include short, supervised visits to York Gardens, the public park opposite the venue, for fresh air and breaks. By booking, you consent to your Child taking part in these supervised off-site breaks.

9.2 Off-site activities are risk-assessed and staffed at appropriate adult-to-child ratios, including supervised road crossing. If you would prefer your Child not to take part in off-site breaks, please tell us in writing and we will keep your Child on-site.

10. Health, medical and dietary needs

10.1 You must disclose any relevant medical conditions, allergies, additional needs or dietary requirements at the point of booking, and keep us updated of any changes. As lunch and refreshments are provided, it is essential that all food allergies and intolerances are disclosed in full before your Child attends.

10.2 We will make reasonable efforts to accommodate disclosed dietary and other needs, but we reserve the right to refuse or end participation where adequate information has not been provided or where we are unable to safely accommodate a Child's needs.

10.3 In a medical emergency, and where you cannot be reached, you authorise us to seek appropriate medical treatment for your Child.

11. Behaviour

We expect all children to treat coaches and fellow participants with respect. We reserve the right to remove a Child from the Bootcamp without refund where their behaviour is unsafe or persistently disruptive. In such cases the Parent will be contacted immediately and is responsible for collecting the Child promptly.

12. What to bring

Lunch and refreshments are provided each day. Children should bring a water bottle (a refill station is available) and wear comfortable clothing. If your Child has specific snack preferences, you are welcome to send additional snacks for the breaks. All chess equipment and materials are provided, including a CheckMate Kids scorepad for each Child. We are a nut-aware setting — please do not send nut products.

13. Liability

13.1 CheckMate Experiences Ltd holds public liability insurance. We are not responsible for loss of or damage to personal belongings brought to the Bootcamp.

13.2 To the fullest extent permitted by law, our total liability arising out of or in connection with a Booking shall not exceed the Bootcamp fee paid for the affected Booking. Nothing in these terms limits liability for death or personal injury caused by our negligence, or for anything else that cannot lawfully be limited.

14. Photography and media

1‍4.1 With your consent (given at the time of booking), we may photograph or film your Child during the Bootcamp, and use those images for promotional purposes on our website, social media and printed materials.

14.2 Children whose Parents have not given consent will be excluded from photography. We will take reasonable steps to ensure this but cannot guarantee a Child will not appear incidentally in the background of images. Consent may be withdrawn at any time by contacting us in writing.

15. Data protection

We collect and process personal data in accordance with our Privacy Notice. Booking and payment information is processed only to administer your Booking and deliver the Bootcamp. We do not share your data with third parties except as necessary to deliver the Bootcamp or as required by law.

16. Governing law

These terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
